An initial setup of around 200 employee profiles became an ongoing service for a UK enterprise: central brand control, branch-based ordering and personalised cards delivered where staff work.

A UK enterprise with several branches needed a consistent way to provide employees with digital business cards. Head office needed to control the brand, organise staff by branch and keep new-starter orders moving without preparing every card from scratch.

NFC Tagify began with an Excel sheet containing around 200 employee records. The profiles were created together, with the company’s branding, profile design and branch structure set up in the platform.

This established the foundation for an ongoing process. As new employees joined, the central team could add their details, assign the relevant branch and order cards using the setup already in place.

The account brought employee profiles into one management environment. Branch teams connected individual staff records to the relevant card settings and delivery information, while the shared brand kit kept the company’s identity consistent.

Head-office administrators were shown how to create employees individually or upload a spreadsheet for a batch of new starters. Training also covered assigning branches, editing existing profiles and ordering cards.

The customer could continue receiving help from NFC Tagify during the transition. Short video guides made the steps available for reference when the next order came around.

Once the employee details and branch assignments are in place, the administrator selects the required profiles and uses Order NFC Cards. Newly uploaded profiles can be selected automatically, making batch ordering part of the same workflow.

The system generates the personalised card designs and sends the production files and delivery details to NFC Tagify’s fulfilment team. Staff details, the relevant design and the destination travel together with the order.

In this customer’s workflow, spreadsheet imports create new profiles. Existing profiles are edited individually before the required staff can be selected together for a bulk card order.

Central visibility.

The fulfilment workflow connects branch deliveries with central purchasing. Invoices go to the customer’s accounts department, with the employee information needed to identify the cards ordered. Tracking details go to the administrator so head office can follow deliveries.

Order history retains the relevant employee and order records, and the account provides access to payment status. This gives the team a place to refer back to previous orders when handling new requests.

The ongoing service also accommodates ordinary changes: promotions, replacement cards, office moves and new delivery contacts. The correspondence records repeat orders and separate branch shipments, showing the process in regular use beyond the initial setup.
